Privacy Policy

ReplyConductor is operated by Saasparilla LLC, a company registered in the State of New York ("we," "us," "our"). This Privacy Policy explains what information we collect, how we use it, and your choices regarding that information.

By using ReplyConductor, you agree to this policy. If you do not agree, please do not use the service.

1. Information We Collect

Account Information. When you sign up, we collect your name, email address, and IP address.

Gmail Data. When you connect your Gmail account, we access your inbox to classify incoming emails and send or draft replies on your behalf. We store email subjects and sender addresses for identification and logging purposes. We do not store email body content in our database — it is processed in-memory only.

User-Created Content. We store the responses, templates, greeting/signoff text, and settings you configure within the service.

Usage Data. We collect statistics about email processing (e.g., number of emails processed, skipped, responded to, confidence scores) and general service usage.

Payment Information. Payments are processed by Stripe. We do not store credit card numbers or payment credentials. Stripe may collect information as described in their privacy policy.

Analytics. We may use PostHog or similar analytics tools to understand how the service is used. These tools may collect anonymized usage data, browser information, and interaction patterns.

2. How We Use Your Information

  • To provide, maintain, and improve ReplyConductor
  • To classify incoming emails and send or draft replies using your templates
  • To process billing and manage your subscription
  • To communicate with you about your account, service updates, or support requests
  • To monitor for abuse, spam, or unauthorized use
  • To debug issues and improve service reliability (we may review user data in the course of investigating technical problems)

We do not use your data to train machine learning models.

3. Third-Party AI Providers

ReplyConductor uses third-party AI services (OpenAI and/or Anthropic) to classify emails and select appropriate response templates. Email content is sent to these providers via their APIs for processing.

These providers operate under their standard API data usage policies. We encourage you to review their privacy policies:

We do not currently have zero-retention data processing agreements with these providers. Their standard API terms apply to data processed through their services.

4. Google API Limited Use Disclosure

ReplyConductor's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically:

  • We only use access to Gmail data to provide and improve user-facing features of ReplyConductor (email classification and automated replies).
  • We do not use Gmail data for advertising or to serve ads.
  • We do not transfer Gmail data to third parties except as necessary to provide the service (i.e., sending email content to AI providers for classification), required by law, or as part of a merger/acquisition with equivalent privacy protections.
  • We do not use Gmail data for surveillance purposes.
  • No human reads your Gmail data unless you give explicit affirmative consent for specific messages, for debugging or support purposes.

5. Data Sharing

We do not sell your personal information. We share data only in these circumstances:

  • AI Providers — Email content is sent to OpenAI and/or Anthropic for classification (see Section 3).
  • Payment Processor — Billing data is shared with Stripe to process payments.
  • Analytics — Anonymized usage data may be collected by our analytics provider.
  • Legal Requirements — We may disclose information if required by law, court order, or governmental authority.
  • Business Transfers — In connection with a merger, acquisition, or sale of assets, your data may be transferred to the successor entity.

6. Data Retention & Deletion

We retain your account data for as long as your account is active. If you delete your account:

  • Your data enters a 15-day grace period during which you can reactivate your account.
  • After the grace period, personal data is permanently deleted.
  • We may retain anonymized, aggregated statistics (e.g., total emails processed) that cannot be linked back to you.

7. Data Security

We implement reasonable technical and organizational measures to protect your data, including encrypted connections (TLS), secure credential storage, and access controls. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

8. Your Rights & Choices

You may at any time:

  • Access your data through your account dashboard and settings.
  • Update your information, templates, and settings.
  • Disconnect Gmail to stop email processing.
  • Delete your account through the account page, which initiates the 15-day deletion process.
  • Contact us at legal@replyconductor.com with any privacy-related requests.

9. California Residents (CCPA)

If you are a California resident, you have the following rights under the California Consumer Privacy Act (CCPA):

  • Right to Know — You may request details about the categories and specific pieces of personal information we have collected about you.
  • Right to Delete — You may request that we delete your personal information, subject to certain exceptions.
  • Right to Opt Out of Sale — We do not sell personal information. No opt-out is necessary.
  • Right to Non-Discrimination — We will not discriminate against you for exercising your CCPA rights.

10. Service Availability

ReplyConductor is currently available to users in the United States only. We do not knowingly collect data from users outside the United States.

11. Children's Privacy

ReplyConductor is not intended for anyone under the age of 18. We do not knowingly collect personal information from minors. If you believe a minor has provided us with personal information, please contact us and we will delete it.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or through the service. Your continued use of ReplyConductor after changes take effect constitutes acceptance of the updated policy.
